How Helpforge works: from your website to a live AI support agent.

No prompt engineering, no dashboard you're required to learn, no sales calls chasing you for a signature. Here is exactly what happens at each stage, from the moment you send us your website URL to what we do for you every week after you go live.

Every step below is the same close sequence and crawl pipeline the product actually runs on, not a marketing simplification of it.

Helpforge agent Live on this page

What do I actually have to do to get this running?

Send us your website link. We build a private demo, usually within 2 business days, and you test it on your own real content before paying anything.

And once I approve it?

One line of code goes on your site and it's live. We host it, watch it, and re-crawl it whenever your site changes, for as long as you're a customer.

Before you start

What we actually need from you.

Shorter than most vendor intake forms. One thing is required; the rest just makes the agent better on day one.

Your website URL

That's the one required thing. We crawl it ourselves and turn it into your agent's knowledge. If your help content lives on a separate docs subdomain, tell us and we crawl that too.

Documents (optional)

Policy PDFs, a Word doc, a price list, internal FAQs: anything with answers your site itself doesn't spell out. Send it over and we fold it into your agent's knowledge alongside your site.

Tone and handoff email (optional)

Tell us how you want the agent to sound, and which inbox should hear about visitors it can't help. We set both up before you ever see the demo, and you can change either one later.

The process

Five stages, start to finish.

This goes deeper than a three-step teaser: what actually happens at each stage, and what keeps happening after you're live.

STAGE 01

You send us your website

One link is enough to start. Add anything from the section above if you have it, or just the URL and we'll ask if we need more.

STAGE 02

We build a private demo, usually within 2 business days

We crawl your site, index it, and train your agent to answer only from that content. You get a private link; nobody else sees it.

STAGE 03

You test it, free, no card required

Ask it your hardest real questions, including ones it should refuse. Tell us what's off and we tune tone, escalation rules, and answers until you're happy. You still haven't paid anything.

STAGE 04

You approve it, one line of code, live in 48h

Paste a single script tag (or send your developer our one-paragraph instructions) and the agent is live. We host it, monitor it, and keep it updated as your site changes.

ONGOING

We keep it running

Hosting, monitoring, and re-crawling when your site changes are all inside the monthly fee, for as long as you're a customer. More on exactly what that looks like below.

Going live

What "one line of code" actually means.

It's a real script tag, the same way you'd add an analytics tool. No API to wire up, no backend to host, nothing else to configure.

<script src="https://gethelpforge.com/widget.js" data-client="your-widget-key" async></script>

Add the line just before </body> in your site template, the same place any analytics snippet goes. We hand you this exact line, with your key already filled in, once you approve the demo.

  • Paste it yourself if you manage your own site: Shopify, WordPress, Webflow, Squarespace, Wix or custom
  • Or forward the one paragraph to whoever does; there is nothing else for them to set up
  • Loads asynchronously, so it never blocks your page
  • Already matches your brand: accent colour, position and greeting, set during the demo
After you're live

Ongoing maintenance, in plain terms.

"We host it" and "we run it" are easy to say and hard to check. Here is exactly what each one means once you're a paying customer.

Re-crawling

We re-crawl your site when it changes, so the agent stays grounded in what you actually publish rather than a snapshot from onboarding day. A re-crawl only ever goes live if it answers your own recent real questions at least as well as the version already serving; if it wouldn't, the previous index just keeps running and nothing about your live agent changes.

Tuning

We check in early with highlights from real transcripts and offer tuning, and you can ask for changes any time in between, to tone, escalation rules, or a specific answer. There's no dashboard you're required to learn to get any of this done; you tell us, we handle it.

Human handoff

When the agent can't or shouldn't answer something, it says so and offers to connect the visitor with your team. That handoff lands in your inbox the moment it happens, not in a queue you have to remember to check.

Pricing

One flat build fee, one flat monthly.

No per-seat charges, no per-conversation meter. The monthly covers hosting, the AI usage of a typical business, monitoring, and re-crawling when your site changes.

$2,500 one-time build
+ $400 per month

Free demo on your real site first. You only pay once you've tested it and want it live.

FAQ

The process, answered honestly.

What do I need to give Helpforge to get started?

Just your website URL, that's the one required thing. If you have policy documents, a price list, internal FAQs, or anything else your site itself doesn't spell out, send that too and we fold it into your agent's knowledge alongside your site.

Is the free demo really free, no card required?

Yes. We build a working demo trained on your real site, usually within 2 business days, and hand you a private link. You test it, try to break it, and ask for tuning before you pay anything at all.

What does "one line of code" actually involve?

A single script tag, the same way you'd add an analytics tool: paste it before the closing body tag yourself, or hand a developer our one-paragraph instructions. There's no API to wire up and nothing else to configure.

Do I have to maintain the agent myself after it's live?

No. Hosting, monitoring, and re-crawling when your site changes are all inside the monthly fee. If you want something tuned, tell us and we handle it; there's no dashboard you're required to log into.

What happens when the agent doesn't know an answer?

It says so instead of guessing, and offers to connect the visitor with your team. If you've given us a handoff email, that request lands in your inbox right away, not in a queue you have to check.

What does the whole process cost?

A flat $2,500 one-time build fee, then $400 a month once you're live. No per-seat or per-conversation charges. You only pay once you've tested the free demo and want it live.
