An AI support agent built for how a gym or fitness studio actually runs.

Most of what your front desk fields by phone or DM is the same handful of questions: what a membership actually includes, what a class is like before someone shows up, what your cancellation policy says. Helpforge trains your agent on your own site so it answers those from your real membership, class and policy pages, and it steps back the moment a question turns into something closer to coaching or injury advice than a front-desk one.

No support team, no dashboard to learn, no per-seat bills. You give us a URL, we do the rest.

Studio front desk assistant Answers in seconds

Can I freeze my membership if I'm traveling for a month?

Yes. Your membership page allows a freeze of up to 60 days per year, requested at least 5 business days before it starts, and it does not extend your contract term. If you need something outside that window, I can pass this to the front desk. Membership policy

My knee's been sore since a squat class, should I keep training on it?

That is not something I can advise on. Please check with a doctor or physical therapist, and let a coach know before your next class so they can adjust the session for you. I can pass this along to the team if you would like a call back first.

What it takes off your plate

The questions a gym or studio answers over and over.

A generic chatbot answers these in a generic way. Your members are asking about a specific membership tier, a specific class format, or your actual cancellation terms, and a confident wrong answer on any of the three turns into a dispute or a chargeback. An agent trained on your own pages answers what it can and cites the page it came from.

Membership tiers and what they include

"Does the basic plan include the sauna" or "can I bring a guest on the mid-tier plan" are the questions that eat front-desk time between classes. The agent reads what your own pricing and membership pages say about each tier, states it exactly, and does not round a limited perk up into an unlimited one.

The real published tier, not a friendlier guess.
Class formats, levels and what to expect

A new member deciding between a beginner and an intensity-rated class wants to know what it is actually like before they show up. The agent answers from your class descriptions, format and level pages, so it can explain what a class covers and who it is built for without inventing detail your pages never gave it.

What your class pages actually describe.
Cancellation, freeze and late-fee policy

Members often lead with a broader claim than your policy actually makes, "I can cancel anytime with no notice." The agent states the real, published notice period and any fee instead of confirming the friendlier premise, and hands off anything your policy page does not spell out rather than guessing at it.

The stated terms, not the version that avoids an argument.
Trainer bios, drop-ins and guest passes

"Who teaches the early class" and "can a friend try a class first" are common enough to matter, and specific enough that a generic bot fumbles them. The agent reads your trainer bios, drop-in rates and guest-pass terms and answers from those, in your studio's own voice rather than a canned one.

Your real roster and rates, not a placeholder answer.
How it works

Done-for-you, in three steps.

You do not build anything, learn a dashboard, or write a single answer. The whole point of done-for-you is that the work is ours.

STEP 1

Share your website URL

Give us your address and anything extra, like a membership PDF or class schedule. That is all we need to start. No account to set up, no code to touch yet.

STEP 2

We build and tune it

We read up to 120 pages of your site, membership, class and policy pages first, ground the agent in them, and send you a private demo on your real content, usually within 2 business days. You test it, including your hardest policy question, and we tune it with you.

STEP 3

One line goes live

When you are happy, you paste one line of code onto your site, or we do it for you. We host, monitor and keep it current as your class schedule, pricing and policies change. You never maintain it.

Why it fits a gym or fitness studio

Built to refuse a guess, not just answer a question.

Most chatbot builders optimize for sounding confident. In a fitness setting, confident and wrong is a real risk on two different fronts: a membership term that turns into a billing dispute, and a training question that belongs to a coach or a doctor, not a bot. Here is what that means in practice.

What you get

  • An agent trained on your own site, live with one line of code
  • Answers that cite the page they came from, so a policy is checkable
  • A hard refusal on training, injury or medical questions, every time
  • A handoff to your front desk the moment a member needs a human

What you skip

  • A bot that guesses at whether a class is safe for an injury because the words are nearby, when your pages never said that
  • A cancellation answer that agrees with whatever the member hoped to hear
  • Per-seat or per-conversation bills that grow when you succeed
  • A long-term contract; it runs month to month with no lock-in
Simple pricing

One flat build fee, one flat monthly.

No per-seat charges, no per-conversation meter. The monthly covers hosting, the AI usage of a typical studio, monitoring, and re-indexing when your class schedule or policies change. You see it working on your real site before you pay anything.

FAQ

Gym and fitness studio questions, answered.

Will it give fitness, training or injury advice?

No. It answers front-desk questions from your own membership, class and policy pages, and it does not give medical, injury or coaching advice. Anything that sounds like a training or health question gets a plain refusal and, where you want it, a handoff to your team or a suggestion to check with a coach or a doctor.

Can it check whether a class is safe for someone with an injury or condition?

No, and it will say so rather than guess. That call belongs to a coach who can see the person or a medical professional, not a chatbot reading a class description. It will offer to pass the question to your staff instead of answering it.

Does it know live class availability or spot counts?

Not on its own. It answers from what your pages publish about class formats, schedules and booking policy, but it does not connect to your booking or scheduling system, so it cannot confirm a specific class is not full right now. For that it points a member to your booking page or the front desk.

Can it handle membership and cancellation questions honestly?

Yes. It answers from your actual membership and cancellation pages, including notice periods and any fees, and it does not agree with a broader claim than your policy actually makes. If a member's situation is not covered by what your pages say, it hands off instead of guessing.

Can I feed it a membership PDF or class schedule directly?

Yes. Anything published on your site, plus a PDF, spreadsheet or document you hand us directly, becomes something the agent can answer from, cited back to the page or file it came from.

What happens when a question is genuinely outside what my site says?

It tells the member it is not sure and offers to pass them to your front desk, rather than inventing a policy, a class detail or advice about their body. A confident wrong answer is worse than none, especially on anything close to health or money.

Do I need any technical skills to set it up?

No. You send us your website URL, we build and tune the agent, and going live is a single line of code that we can add for you. There is no dashboard to master and no content to write yourself.

How much does it cost?

A flat $2,500 one-time build fee and $400 per month, with a free demo on your real site first. The monthly covers hosting, the AI usage of a typical studio, monitoring and re-indexing. There are no per-seat or per-conversation charges.
